We are looking for an Operations Support Specialist to join our team and support our organization by managing the day-to-day tasks and administrative needs of our dental staffing operations. You’ll be completing various administrative tasks, enforcing the organization’s policies and standards, and ensuring that our top-notch dental hygienists and assistants fill temporary assignments with our network of partner practices.

In this multifaceted role, that reports to a regional Operations Manager, you will work with various departments across the organization to ensure all administrative and operational tasks are completed to a high level of detail and professionalism.

What you will do


    • Respond to shift requests: new, change, drops, and call-offs, in order to achieve high level of fully completed shifts
    • Facilitate scheduling issues raised by Professionals and Offices
    • Propose options and coordinate with Professionals and Offices to fill open shifts in an acceptable manner

Operations quality

    • Maintain accurate and timely data in Kwikly Admin system and HubSpot
    • Advise Professionals and Offices on policies to ensure compliance
    • Provide suggestions to improve procedures and interfaces

Process and systems

    • Maintain knowledge of and adherence to Kwikly SOPs and systems
    • Onboard Offices to the Kwikly operations and systems to ensure successful, independent usage
    • Provide ongoing instruction and updates to Professionals and Offices on procedures and systems updates

Resolution and escalation

    • Resolve issues and questions to standard processes where applicable
    • Use judgment to propose solutions to ensure quality service not covered by existing guidelines 
    • Escalate significant issues to Operations Manager or others, as appropriate

First point of contact

    • Field questions about Kwikly’s business and route to appropriate department as needed
    • Represent Kwikly as an external ambassador and de facto extension of sales focus with professionalism, service quality, and responsiveness
Required skills and experience
  • 1+ years of experience in a customer-facing service role, ideally in a dental, medical, or another healthcare environment
  • Build relationships with internal and external stakeholders
  • Highly organized with strong attention to detail
  • Ability to work in a fast-paced environment 
  • Handle multiple priorities while maintaining service and quality standards
  • Strong web, mobile, and desktop skills – we use HubSpot, Google Docs, and various web-based tools such as Slack
